COVID-19 and University Housing

The Housing Office works to ensure that our tenants are safe during this challenging time and actively encourages our students to act in accordance with directives from the Swedish Government. The information presented below is based on our current knowledge of the regulations. Should any changes be mandated by the Swedish Authorities, we will update accordingly.

Quarantine period

Swedish authorities are not imposing quarantine for those travelling to Sweden, therefore you do not have to self-isolate before moving into University Housing. However, those who are feeling unwell and/or have been in contact with others with confirmed COVID-19 must go into isolation immediately upon arrival.

Social distancing

Tenants are recommended to keep a 1.5-metre distance, when possible. The Housing Office recommends tenants to create kitchen schedules in order to avoid crowds in the common areas.

Hand sanitising

Tenants must commit to washing their hands regularly and/or using hand sanitiser. Please note that the Housing Office does not provide hand sanitiser.

Feeling unwell

Tenants with symptoms of COVID-19, should take a self-test (more information on this will be provided once you move in). Until the results have arrived, stay at home and isolate. Avoid spreading the infection: sneeze or cough in your elbow, or into a disposable handkerchief. Try to stay a couple of metres apart from others and only use communal spaces when necessary.

Tenant events

All events arranged by the RAs will take place online and outdoors.  We encourage all tenants to join all our social media channels, as well as stay connected with the RAs to find out what is happening in your building and in Malmö.

The Housing Office has switched to Virtual Online Meeting using Zoom. If you need to make an appointment with us, please contact us via email and suggest a date and time.  

Moving in

1. Complete the online inventory report

Inspect your room and check that all items on your inventory list can be located.

For those living at Celsiusgården, please put your findings in the inventory report. Please note that Celsius tenants must fill in the report within the first week after moving in. If you fail to submit this form the room will be logged as being in good condition with all inventories present. The report will be used when assessing the result of your room inspection upon moving out.

2. Making a fault report

If you find that something is broken or missing in your room, please make a fault report.

Please note! In order for us to reduce the risk of spreading COVID-19, we have made a few changes to our maintenance routine.

3. Put your name on your post box

You should find a name tag in the folder for your rental agreement. Please locate your letterbox and place your name tag on it. Please note that if your letterbox is unnamed, you might experience difficulties in receiving post, even if the address is correct.

4. Check in with your Resident Assistant

A week or two after moving in, one of your Residence Assistant will contact you. Please take this opportunity to make enquiries regarding any practical matters connected to living within University Housing, which you might need help with.

Social activities during your stay

Throughout the year, the Housing Office and the RAs will arrange various social and educational activities. These activities are a great way to get involved with fellow residents and learn something new in the process.

August 20, Food Tour  
A city tour, where you discover the most student-friendly grocery stores in Malmö. Put your most comfy shoes on and join us! The tour starts at 11:00. Please note that you have to register to join.

Have you experienced the Swedish cuisine? Join us for a tasting session - perhaps you will discover a new favorite? The event starts at 15:00. Please note that you have to register to join.

August 20, Sunset at the beach
The long, shallow, sandy beach in Malmö is great for splashing around or, for getting the best view of the sunset. The event starts at 21:00, please bring your own fika. You have to register to join.

August 21, Into the woods
Bike trip to the historical castle Torup, its gardens and the surrounding forest in their summer splendor. The event starts at 10:00. Let us know if you need to rent a bike when you register to join.

Resident Assistants

A Resident Assistant (RA) is a full-time student whose job is to act as a resource for the students who reside in the building.

The RAs are hired on the basis of character, leadership, and their ability to interact with their fellow students. Their main function is to build a community, which is crucial to a successful residence living experience. The RAs are entrusted in engaging in the resident living conditions and have a duty of confidentiality. We encourage all tenants to talk with their RAs and to remember that they are there to help.

Maintenance service

Is your window stuck, is your fire alarm not working, or are you having problems with the blinds in your room? Please submit a fault report.

Please note that some maintenance should be carried out by the tenants, this includes:

  • changing light bulbs in desk or floor lamps
  • changing batteries in the fire detectors
  • unclogging the sink or shower drain

Guidelines for maintenance service considering COVID-19

In order for us to reduce the risk of spreading COVID-19, we have made a few changes to our maintenance routine:

  • staff working in our residences must be symptom free when carrying out maintenance
  • if you feel the slightest symptoms, please postpone submitting your fault report
  • if you have symptoms but have an urgent fault to report, we kindly ask you to inform us of your condition

Maintenance service during office hours

Housing proprietors have an obligation to handle faults within reasonable time according to Swedish tenancy law. Once you have submitted a fault report, you will receive a written confirmation. If possible, you will receive a notification regarding when the maintenance staff will handle the fault.

Please note that it normally takes 2-3 days before the maintenance staff can visit your room in order to assess or fix the fault. Urgent faults, such as a water leak or something else that will damage the property, are excluded and will be dealt with as soon as possible.

If the fault requires a part that the maintenance staff do not have in stock, it can take a couple of weeks before the fault is handled. If this is the case, the tenant who submitted the fault report will be contacted.

Maintenance service after office hours/during public holidays

The maintenance staff do not work outside office hours, therefore any fault reports submitted during weekends and bank holidays will not be addressed until the following weekday.

If an emergency fault occurs outside office hours, please follow the instructions below:

Emergency fault are those which risk damaging the property or injuring the tenants, such as a water leak or a blocked toilet. Emergency faults will be handled as soon as possible.

Heating

The indoor temperature should be between 19-22 degrees celsius. This is the Swedish standard according to the Public Health Agency of Sweden.

Since the heating is controlled by the outside temperature, it sometimes takes a few days for the heating to adjust at the beginning of autumn (due to sudden temperature changes). We ask kindly for you to show patience if and and when this occurs.

If you believe it is colder than 19 degrees in your room:

  • check that the thermostat is turned to max and that nothing is covering the thermostat
  • measure the temperature by placing a thermometer at mid-height in the centre of the room

If the temperature is below 19 degrees celsius, please make a fault report.

Cleaning schedule and cleaning supplies

An inspection will be carried out regularly to ensure that the common areas are kept clean.

Cleaning supplies are stored in the cleaning cupboard on each floor. It is the tenants’ responsibility to keep the cleaning cupboard in order, to refill the empty cleaning supplies, and to report any faulty machines.

In Sweden, housekeeping services are usually not provided in residential buildings. As a University Housing tenant, you are therefore expected to keep your room clean and tidy. This also means that the primary responsibility for keeping the communal kitchen and other areas clean on a day-to-day basis falls on the residents.

The housekeepers are only responsible for routine cleaning of public areas, such as stairwells, entrances and the hallways in the basement. At Rönngården, the housekeepers also clean the floors in the common areas twice a week.

Twice a year, at the beginning of each academic semester, the housekeepers thoroughly cleans the common areas at Celsiusgården and Rönngården. The rest of the year, the tenants are responsible for maintaining a clean and healthy environment in individual rooms as well as in the common areas.

Cleaning schedule

Inspections will be carried out on a regular basis, to ensure that the common areas are kept clean. If a floor is repeatedly failing the inspections, or if standards of day-to-day cleanliness are below a reasonably acceptable level, the Housing Office may serve notice on the residents, requiring improvement by a specified date. If the required standard has not been met by the time of the follow-up inspection, the Housing Office may order a professional cleaning. The cost of such cleaning will be divided among the residents on the floor as an additional charge.

The Housing Office strongly recommend tenants to create a weekly cleaning schedule to split up the cleaning responsibility on each floor.

Cleaning instructions

The Housing Office provides a limited amount of cleaning supplies, for example a vacuum cleaner, a mop and cleaning liquids. These supplies are stored in the cleaning cupboard on each floor. It is the tenants’ responsibility to keep the cleaning cupboard in order. Please notify you RA when it’s time to replenish the cleaning supplies.

The instructions below are important for the health and well-being of each resident, and also to make sure that facilities are maintained and in working order. The frequency for cleaning mentioned is a recommended minimum — you may find that you need to clean more frequently than these guidelines suggest. If you have questions or concerns, please talk with your RA.

  1. Use a degreasing cleanser to wipe down all exterior surfaces.
  2. Discard food. Wash all removable refrigerator parts such as ice trays, shelves (gently lift and pull forward,) and compartment drawers in warm, soapy water.
  3. Wipe down inside of the fridge with a non-abrasive cleanser and warm water.
  4. Defrost the freezer. Never use anything to prise the ice off the surface; doing so could damage the coolant line. The better way is to place a bowl of hot/warm water in the freezer to speed the defrosting process. To avoid the danger of electrical shock, do not use another electrical appliance, such as a hairdryer, to melt ice.
  1. Carefully pull stove away from the wall and unplug it.
  2. Clean the back of the stove/oven with a vacuum.
  3. Use a degreasing cleanser to wipe down all exterior surfaces.
  4. Use oven cleaner on interior surfaces of the oven. Please use sparingly to prevent liquid from running into the electrical plug and the elements.
  5. Sweep the floor where the stove was sitting.
  6. Allow the stove to dry. When it is dry, plug the stove in and check to ensure it is working.
  1. Sinks should be cleaned on a bi-weekly basis. Follow instructions on the cleaning product you use.
  2. Shower stalls should be cleaned when the sinks are cleaned using the same products.
  3. Mirrors should be cleaned every 2-3 weeks. Use a glass cleaner to clean the mirror with a paper towel.
  4. The top part of the toilet seats, toilet bowl rim and the back of the toilet should be cleaned twice a week. Use a toilet bowl brush to clean the toilet bowl.
  5. The shower curtain should be cleaned on a monthly basis:

    • Put the shower curtain in the washer.
    • Add 1 cup of detergent. Add several dirty towels or a blanket to the washer and use a gentle cycle with low temperature (30 degrees).
    • Right after the spin cycle, take the shower curtain out of the washer, bring it back to the shower, and shake gently to remove as much water as possible.
    • Hang the curtain back up to drip dry. Any remaining wrinkles will disappear within a day.
    • To remove soap scum and soap film on shower curtains, add 1 cup of vinegar in the washing instructions above.

Make a difference — make sustainable choices

Every decision and choice you make creates an impact, and together we can make a positive difference! By reducing, reusing and refusing, you can take a stand today. These actions will not only reduce your environmental impact but also will help you feel healthier and probably even save you a little money in the long run!

Reduce

  • turn off the lights when you leave your room
  • unplug your computer, and other electrical devices when not being used
  • minimise your water usage by taking shorter showers and turning taps off while you brush your teeth, shave, wash dishes, and so on

Reuse

  • bring your own mug or reusable water bottle when out and about
  • carry your books, snacks, reusable mug, etc. in a backpack or cloth or canvas bag
  • “Green clean” with a reusable washcloth or sponge

Refuse

  • say “no thanks” to paper and plastic bags when you shop
  • try to avoid products like styrofoam plates, plastic cups, and plastic cutlery
  • avoid transportation and use a bike or walk whenever possible

Recycling

The Housing Office is committed to good environmental practice by setting clear targets for waste and recycling. By sorting correctly, the waste can be recycled and become a useful resource again.

Food waste

Food bins are provided in the common kitchens. Please use the brown paper bags, which can be collected from the environment building outside your residence.
For example: banana skins, eggshells, seafood leftovers, coffee, tea bags, and kitchen paper.

Cardboard

All smaller cardboard packaging, both hard and soft: please remember to flaten.
For example: milk packaging, egg cartons, corrugated cardboard, and wrapping paper.

Plastic

All smaller plastic packaging, both in hard and soft plastic: please ensure you rinse all plastic before it is recycled.
For example: plastic bags, plastic bottles without a refund, bag-in-box bags, chip bags, styrofoam and medicine cards.

Glass

Glass bottles and jars are sorted as either clear or coloured glass. Please drain all liquids, remove lids and rinse first before recycling.
For example: wine bottles, spice, and jam jars.

Metal

All metal packaging, both hard and soft: please rinse all cans before recycling.
For example: cans, tubes, caps, aluminium foil and cans which do not have a renumeration code.

Paper and magazines

For example: newspapers, catalogues, paperbacks, flyers, office paper, and notepads.

Residual waste

Unfortunately, all waste can’t be sorted. 
For example: chewing gum, envelopes, post-it notes, broken drinking glasses/ceramics, condoms and sanitary towels. Waste, such as small electric devices, light bulbs and batteries should be disposed of at your local “Samlaren” station. The same applies for textiles.

Please remember not to put plastic bags into any of the recycling containers as this contaminates the bin, and the contents will then be sent to landfill.

Rent

In Sweden, rent is always paid in advance. For example, the September rent must be paid by before the last day of August. Within University Housing, rent is always paid for a full calendar month (from the first day to the last day in a month = calendar month), except for the half months during the arrival months: August and January, and departure months: January and June.

The cost for water, electricity, heating, internet, and furniture is included in the rent. The rent is paid for ten month out of twelve, leaving the period mid-June to mid-August rent free. Please note that this does not abide to tenants who move in after March, to compensate those tenants they pay a lower rent.

Tenants at Rönngården will receive their rent slips via email on a monthly basis, whereas tenants at Celsiusgården receive their rent slips when signing their rental agreement.

Please note that there is an annual rent increase at the beginning of the spring semester.

If you wish to pay your rent with cash or credit card, the Housing Office recommend using the services at Direkten Ettan and Värnhem Tobak, which are situated in the same area. Please note that you will be charged a small fee for the service. Bring your rent slip when consulting their services, make sure to write your reference in the payment and always keep the receipt.

The Housing Office recommends applying for a Swedish internet bank account, which makes it easy for you to pay the rental invoice digitally. Please note that most Swedish banks require that you have a personal number (civil registration number), in order for you to open a bank account.

International transfer

Tenants who prefer to use a bank account based in their their home country can make an international transfer. Conditions for transferring money from foreign banks vary, please inquire about this at your bank to avoid unnecessary extra costs. Remember to ask your landlord for additional bank details in order to make an international transfer.

Unpaid rent

If you neglect to pay your rent on time, you will receive a reminder and an extra fee will be added. If the debt remains, the Housing Office will contact your home university and/or your emergency contact person.

Please note that tenants with rent arrears risk not getting their rental agreements extended.

Moving out

There are a number of things to think about when it is time to leave your student housing.

Terminate your contract

You are required to give one calendar month’s notice when terminating your contract, even if you wish to move out on the date your contract ends. You always pay the full month's rent, regardless if you move out in the middle of a month.

Example 1: You want to move out by 15 October. You will have to terminate your contract before the end of September and pay a full month's rent in October.

Example 2: If you want to move out by 15 October, and you terminate your contact on 2 October, you will have to pay rent a full month's rent in November as well.

I understand that deductions might be made from my deposit due to damages, negligent cleaning and/or rent differences. This applies even if I can't attend my room inspection.

Room inspection

  • Once you have terminated your contract, you will be contacted by your landlord and a room inspection will be scheduled. You need to thoroughly clean your room according to the instructions given. We recommend you to be present during the room inspection in order to correct minor faults. Please note that you must hand in your keys after the inspection.

Deposit reimbursement

You need to pass the cleaning inspection and have no outstanding rent in order to receive your full deposit. Please note that the waiting time for getting your deposit back can vary, but it usually takes up to three weeks after the cleaning inspection has been conducted, provided you have handed us the correct bank details.

Accommodation:
I have understood that my deposit sum will be deducted if I fail the cleaning inspection and/or have any unpaid rent differences and/or have any unpaid mandatory housing fees.
