Before moving to Sweden

Visa and permits

Depending on the length of your stay, your country of citizenship and whether it is a member of the EU or not, different rules apply for visa, residence permit and work permit. Please consult the Swedish Migration Agency website to find out more about the different rules and make sure to apply in good time before your planned arrival.

If you are bringing your partner and/or children, make sure to apply for the required documents for them as well.

Education and pre-schools

In Sweden, education is free from the age of 6 to 19 and pre-school is subsidised and does not involve any major costs. More than 95 per cent of Swedish children attend pre-school. Apartments for researchers

The University has thirteen fully-furnished apartments for researchers in the Western Harbour and Lugnet areas of Malmö. The contracts are short-term with a two-week minimum lease and a maximum of 1 year.

Use the Move to Sweden service at the Swedish Tax Agency (Skatteverket)

When you have found a home, use the Move to Sweden service at The Swedish Tax Agency´s website. This will speed up the process of getting registered in the Swedish Population Register. If you are planning to live in Sweden for one year or more, you are generally required to register in the Swedish Population Register. 

Once you have arrived in Sweden you need to make a personal visit to The Swedish Tax Agency (Skatteverket) to complete the registration.

European Health Insurance Card

If you are an EU-citizen, you should get the European Health Insurance Card (EHIC) from your local authorities. The EHIC entitles you medical care at a regular patient fee. Children in need of necessary care should also have an EHIC.

Getting started at the University

Register your bank account details

Salaries are paid out via Danske Bank. In order for your salary to be paid into your account, you must submit your account details to Danske Bank. If you have a Swedish bank account, you can do this yourself using an electronic identification. If you do not have an electronic identification, you will need to contact your payroll administrator. Submitting account details to Danske Bank will not make you a client of the bank.

If you do not submit your account details, or if there is an error in your account details, your salary will be paid to you by a physical pay cheque. If you cannot use it, it will take 45 days for the money to be returned to the University, after which a new payment can be made.

  • Fill in the form with your personal number, email address and enter 79174 in the 'kundnummer' field.
  • Then click on 'submit' (if you get the message, "följande fel har uppstått: Du är redan registrerad hos angiven arbetsgivare", you can go ahead and log in directly).
  • Log in to Danske Bank (in Swedish) (twoday.com)
  • Choose which type of electronic identification you would like to use, enter your Swedish personal number (12 digits written as YYYYMMDDXXXX) and click 'Fortsätt'.
  • Click on 'Min profil' and 'Lägg till kontouppgift' under the heading 'Kontouppgifter'. Write your clearing number and account number and click 'spara'.
  • Once the account is saved, you will see it under the heading 'Kontouppgifter' in your profile.

Already a Danske Bank client

Even if you are a client of Danske Bank, you need to register Malmö University as a new employer. The procedure is the same as for new employees.

Your MauID

Your MauID

When you start working at Malmö University, you will receive a personal user ID, called MauID. This is your account for logging into the university's systems and digital services.

Your manager will order a MauID for you. Once the account has been created, you will receive an email with instructions to your private email address.

Follow the instructions in the email to activate your account and create a password. If you cannot find the email, check your spam folder.

Get a multicard

As an employee at Malmö University, you need a multicard to access our premises, print and copy, and borrow books from the library.

We recommend that you order your multicard before you start your employment, so that it is ready to use on your first day at work.

Please note that you must have a staff account (MauID) and be registered in the payroll system before you can obtain a multicard.

How to order a multicard

  1. Log in to IDS, click on the link "Multicard", and then follow the instructions.
  2. You can find your card number and the PIN code in IDS under "Manage your card". Here, you can also change the PIN code. The card will be activated and valid before it will be sent home to you.
  3. The multicard will be sent to your address in Sweden. It takes about 5 to 14 days after you have ordered your card. Note that the card cannot be sent outside Sweden. If you do not have a Swedish address, you can also choose to have it delivered to the reception in Niagara.

If you have moved to Sweden from another country and are planning to live in Sweden for one year or more, you are generally required to register in the Swedish Population Register. Once you have arrived in Sweden, visit the local Swedish Tax Agency (Skatteverket) to complete your registration. We recommend that you do this on day one and book your visit in advance.

Personal identity number

Once you are registered in the Swedish Population Register, you will receive a Swedish personal identity number. This normally takes from 1 to 2 months, but sometimes even longer. You will need your Swedish personal identity number in many daily situations, so registering yourself as soon as possible will make your life easier.

Coordination number

If you are staying in Sweden for less than a year, you may need a personal coordination number (samordningsnummer). This number can be used for identification purposes. A coordination number is ordered by, for example, a contact person at the department or by another staff member employed at the University. Talk to your contact person or HR administrator to get further help.

ID card

After you have received your personal identity number you need to visit Skatteverket in person to apply for a Swedish ID card. An ID card is useful in many situations as proof of identity.

Non-EU citizens who can enter Sweden without a visa should visit the Swedish Migration Agency (Migrationsverket) as soon as possible after arrival to be photographed and fingerprinted in order to receive a residence permit card.

Swedish Social Insurance Agency

In Sweden we have a publicly funded social insurance that will provide financial security during the different stages of life. Swedish social insurance includes insurance and contributions to families with children, to people with a disability or illness, and to the elderly. Social insurance is financed by taxes and contributions and is administered by the government agency Social Insurance Agency (Försäkringskassan). To receive compensation from Försäkringskassan, you must be insured in Sweden. Försäkringskassan investigate and decide if you are considered as living or working in Sweden. Some benefits can be obtained if you live in Sweden while others require that you work here.

If you move to Sweden together with children under the age of 16, Försäkringskassan will contact you once you are registered in the Swedish National Population Register. They do this to investigate whether you and your children should be insured here and thereby eligible for child allowance.

If you move to Sweden without children, you can provide information to Försäkringskassan if, for example, you would like a European Health Insurance Card (EHIC) or apply for a benefit or allowance.

If you move to Sweden without being registered in the Swedish Population Register, you must provide Försäkringskassan with information. If you then at a later date apply for a benefit or allowance or have children, we use the data to investigate whether you should be insured in Sweden.

If you come to Sweden from a country outside the EU/EEA or Switzerland, you need a residence permit from the Swedish Migration Agency in order to receive compensation from Försäkringskassan.

Bank account, healthcare and insurance

Open a Swedish bank account

With a valid residence permit in Sweden, you are entitled to open a bank account. You are free to choose any bank of your choice. The rules are the same for all of the banks in Sweden and the routines at the banks are similar.

If you are staying for less than six months, the best option is to use your existing bank account in your home country. If you plan to stay longer than six months, opening a Swedish bank account can help ease everyday life. Having a Swedish bank account will also enable Malmö University to transfer your salary directly to your account without any delays.

Healthcare and medical treatment

In case of illness during a temporary visit to Sweden, you are always entitled to essential healthcare. Usually, you should contact a local primary care centre, where a medical assessment is made, and you will receive an appointment time, or be referred to a specialist.

Home insurance

It is recommended to arrange a private insurance such as a home insurance and an insurance for accidents. Contact an insurance company for more information. 

Insurance provided by Malmö University 

There are several types of insurance that cover the University's employees and visitors. As an employee at Malmö University you are insured during your work hours, on business travels and while going to and home from work. 

Insurance for foreign visitors

Malmö University has also acquired insurance for foreign guest researchers or other groups who are affiliated with the University and lack adequate insurance protection. The insurance also covers accompanying family members. This insurance provides coverage for personal injuries, medical and dental care, home transport, personal property, third-party liability, and legal expenses.

Learn Swedish

Since most Swedes are reasonably fluent in English, it may be sufficient to use English in everyday life. However, good Swedish skills facilitate the start of your new life in Sweden. And there is no better way to getting to know a culture and integrate than through the language.

Swedish for immigrants – SFI

Join a Swedish for immigrant course, for free. You will not only learn about the Swedish language but also about Swedish society and work life. You can study SFI if you are registered in the population register in the municipality of Malmö, or if you are an EU citizen with a residence permit. Even accompanying family members can study SFI.
